By signing up for a tennis membership at Tennis Time Academies, you agree to the following terms and conditions:

Tennis Time Academies may, from time to time, review and update these Terms and Conditions. We reserve the right to amend or introduce any rules necessary to ensure the safe and efficient operation and financial viability of our facilities and programs.

 

Billing and Membership Validity

Memberships are billed once a month on the day of purchase. (ex. If you purchase a membership on the 8th of the month your bill date will be the 8th of each month).

Memberships are valid for weekly classes + 1 additional class delivered on one Saturday of each month. Memberships do not cover additional tournaments, camps, or events that may or may not be held on the same day as a scheduled class or makeup class. 

 

Class Registration Policy

All Students must register for the day(s) they will be attending class at least 24 hours in advance. This allows us to have appropriate coaches and create a lesson plan that best suits the needs for attending students. 

If you know you’ll be attending every week on certain days (example: Mondays & Wednesdays), the software allows for multiple weeks to be booked at once. 

Students who attend class and have not signed up will be charged an additional $3 manual sign-up fee to their account.

 

Booked Classes and Class Waitlist

Each class will have a maximum number of participants to ensure quality instruction and the safety of all attendees. Once this limit is reached, a waitlist will be created. We will contact individuals on the waitlist if spots become available.

If a student shows up to a full class and is not registered on the schedule, they will NOT be allowed to participate for that class. 

 

No-Show Policy

If a student misses a class for any reason, they are responsible for making up the class within 7 days before or after the missed date. Alternatively, they can attend the monthly Saturday makeup session. Members also have the option to join other available classes during the week surrounding the missed session, in addition to the Saturday makeup day.

Please note that we do not offer refunds or credits for missed classes due to sickness, holidays, or other reasons as these types of missed classes have already been factored into the monthly membership pricing. This policy helps ensure the sustainability of our tennis programs and supports the livelihoods of our coaches.

Class Schedule

Classes are available according to the times stated in the Tennis Time Academies booking system. This is the most accurate record of our classes.

Classes and instructors are subject to change without prior notice, depending on coaches availability. 

We reserve the right to refuse entry to a class or suggest a more appropriate class/course if a participant is not of the correct age or ability, or if they are unable to complete a class/course due to being in the incorrect age or ability group.

Rainouts & Public Holidays

Classes run year-round, except for a 2-week break from December 22nd through the first week of January, and 1 week in the Summer. Rainouts and holidays are factored into the pricing and do not entitle members to an additionally scheduled makeup day. We allow members to make up classes on days where classes are offered, provided there is open space in the class. One Saturday each month is designated as a bonus/makeup day, which is also included in the membership pricing. 

Saturday Makeups

We offer one Saturday a month as a makeup class for any classes missed due to travel, illness, and weather related cancellations. Makeup classes will be in the morning on Saturdays, & might often be held on the same day as other events (ie: competition days, tournaments, etc.)  Please note that these additional events, tournaments etc. are not included in the membership, and will often require an additional fee to register. 

Makeup Classes: Makeup classes are held in the morning at the time stated on the makeup schedule. This portion is included in your membership package and requires no additional charge for participants who have a membership.  

  • Competition/Matchplay Portion: The remaining 1.5 hours are reserved for match play. Due to the cost of reserving courts, this part of the session is available for an additional fee and requires that players sign up in advance if they wish to participate.

Please note that participation in the competition portion is optional. Players are welcome to attend only the makeup class if they prefer.

 

Saturday Scheduling & Adjustments

To accommodate seasonal changes, we schedule these Saturday sessions 2-3 months in advance. If a scheduled makeup day is rained out, we will adjust the schedule and reschedule the makeup class for the next available Saturday.

Tennis Time has the right to change the class schedule at any time and replace any coaches when necessary. We will do our best to share these changes well in advance to our members in order to adjust to the new schedule accordingly. 

 

Communications

Please ensure that your email address is up to date, as this is our primary method of communicating important information to our members. This includes updates on  rainouts, seasonal changes, holidays, and exciting news.

In the event of a rainout, we will notify members via email as soon as we know for certain that the courts will be unplayable. For this reason, it is required that all parents have an accurate email attached to their account.  If we do not have your current email address, we will be unable to reach you, as individually texting all members is not feasible.

If the weather is questionable, please look for an email to confirm if practice is on or not. If you haven’t received an email closer to your scheduled class time, this likely means that the courts are still playable in our local area, and we are scheduled for class until the courts are too wet for safe play. This will help avoid unnecessary travel and ensure you receive timely updates.

Paused Memberships

Members are able to “Pause” their membership once annually (for up to 28 days) for either travel or illness. Please note, you cannot pause your membership for a holiday as our system already takes holidays into account in the membership pricing. If you choose to cancel your membership and rejoin, your membership will be subject to the current rates and terms (which may have increased) at the time of rejoining.

 

Cancellation Policy

We understand that plans can change, and we strive to make our cancellation process as easy as possible. To cancel your membership, please provide us with a minimum 14-day notice. For example, if your membership is billed on the 15th of the month, please let us know by the 1st.

Once your membership has been billed for the month, no refunds can be issued, but you are welcome to continue attending classes until the end of your current billing cycle. For example: If your bill date is November 15th and you tell us on November 13th that you want to cancel, we will be canceling for the next billing cycle- December 15th. Your child would be able to participate until December 15th.

Tennis Time Academies reserves the right to suspend or terminate a membership of anyone who violates our code of conduct.

 

Photos and Videos

By becoming a member of Tennis Time Academies, you consent to having photographs or videos of yourself or your child taken during sessions. Tennis Time Academies reserves the right to use these images for press and promotional purposes.

If you find a photo or video of your child on our promotional channels (such as our website or social media pages) that you would like us to remove, please email us at Zach@TennisTimeAcademies.com, and we will address your request promptly.

 

Disputes

At Tennis Time Academies, we strive to prevent disputes through open and honest communication between players, parents, and coaches. If a resolution cannot be achieved through these means, please send a written account of your concerns to Zach@TennisTimeAcademies.com, outlining the issues you wish to address. We will investigate the matter and implement processes to resolve it.

If a mutually agreeable solution cannot be reached, we reserve the right to terminate a participant’s involvement in the program. Any behavior that violates our standards may result in termination or exclusion from certain or all groups to ensure the quality of instruction.

 

Players Code of Conduct

During Tennis Time Academies sessions, all players are expected to show respect for our coaches, who are here to guide and support them. Aggressive behavior towards staff or fellow players will not be tolerated.

Players are expected to clean up after themselves and leave the tennis courts, changing rooms, and bathrooms tidy for others to use.

Behaviors such as swearing, racket throwing, or ball abuse may lead to a warning or removal from the session or the academy. Bullying is strictly prohibited. Parents will be informed of any incidents involving their child that result in disciplinary action, and continued participation may be affected if behavior negatively impacts the group.

Tennis Courts

  • Footwear: No cleats, crocs, or flip flops are allowed in classes. Closed Toe athletic shoes only.
  • Chewing Gum: Chewing gum is not permitted on the courts.
  • Disruptive Behavior: Individuals causing disruptions or endangering others may be asked to leave. No refunds will be issued.
  • Damage: Users are responsible for any damage caused by negligence. Any damage must be reported immediately to the appropriate staff member.



Parent Charter

At Tennis Time Academies, we value the support and encouragement of parents. To assist us in providing the best experience for your child, we ask that you:

  1. Praise Effort Over Outcome: Focus on your child’s effort and growth rather than just the results.
  2. Encourage Independence: Allow your child to take responsibility by not attending every training session and match.
  3. Promote Respect: Encourage your child to show respect and appreciation for others.
  4. Highlight Positives: Reinforce and celebrate positive aspects of your child’s performance.
  5. Be Consistent: Maintain consistent messages and behavior as children thrive on stability.
  6. Foster Internal Motivation: Support your child’s sense of competence, autonomy, and connection.
  7. Encourage Self-Sufficiency: Let your child handle tasks they can do themselves, such as packing or carrying their tennis bag.
  8. Emphasize Growth Over Competition: Help reinforce that tennis is about learning to overcome challenges and always trying your best, rather than focusing solely on winning or losing. For example: “I don’t care if you win or lose, I love watching you give your best.”

 

Coach Charter

All coaches at Tennis Time Academies will adhere to our core values and the standards set by relevant coaching bodies. Key principles include:

  1. Core Values: Coaches must uphold our core values of Energy, Encouragement, Quality, and Progression.
  2. Positive Learning Environment: Provide a supportive and appropriately challenging environment for all players.
  3. Professional Development: Engage in Continuing Professional Development and participate in mentoring programs organized by Tennis Time Academies.
  4. Respect and Dignity: Treat everyone with dignity, equality, and respect, focusing on the individual as well as the player.
  5. Approachability: Be friendly and approachable when interacting with parents and participate in open days, competitions, and educational sessions.
